Position Description

Base pay is influenced by several factors including a candidate’s qualifications, relevant experience, and anticipated contributions to meet the needs of the business, along with internal pay equity and external market driven rates. The salary range displayed has not been adjusted for geographical location. The Project Portfolio Coordinator supports and coordinates the cross-functional work across the organization to administer the corporate project portfolio. This position is the central Point of Contact for the Project Management Office and handles inquiries or concerns related to project status and requires significant interaction with other departments throughout the organization. The ability to guide others is key as new individuals across the organization are asked to manage projects in accordance with our corporate guidelines. The Project Portfolio Coordinator provides overall direction concerning multiple activities where deadlines and objectives need to be met. This position is responsible for monitoring the portfolio management process, ensuring compliance with appropriate audit standards as well as adherence to the defined processes.

Responsibilities and Qualifications

  • 25%-Portfolio Management Team, Drive Team, and Project Governance - Create meeting agendas, define schedule of attendance, and prompt for PMT meeting management. Includes preparing the agenda, staging the deliverables, and assist with meeting documentation facilitation. Prepare and distribute meeting minutes weekly. Prepare meeting materials for Drive Team, review results, and communicate as necessary to impacted stakeholders.
  • 20%-Portfolio Management - Manage the project pipeline while collaborating with business leaders throughout the company, guiding them through the corporate project process. Use thorough knowledge of portfolio management system to enter projects, maintain information, move projects through workflow, close and/or cancel as appropriate. In partnership with PMO leadership, conduct ongoing analysis of portfolio, maintaining strategic drivers and impact statements, run pairwise comparisons annually, and assist with portfolio prioritization.
  • 15%-Tool Administration -Support the PMO by administering the portfolio management tool.
  • 20%-PMO Administration - Assist with resource management, risk management, and on-demand portfolio reporting. Coordinate with the PMO to determine system reports that meet the need and demand of management to drive the portfolio forward. Assist with Senior Management, Drive Team, and Board reports and data collection as necessary. Provide updates to the PMO website and be the point of contact for records management within the PMO.
  • 20%-General administrative support for Strategy & Planning and Project Management Office leadership.

Skills:

  • Experience planning, organizing, and managing/coordinating major activities. Detail oriented and ability to multi-task.
  • Strong interpersonal and communication skills (written and verbal) with a strong customer service orientation with demonstrated ability to work with all levels of management.
  • Integrity in all job responsibilities; demonstrated ability to apply project management principles; proven problem-solving skills with demonstrated ability to think outside the box and use analytical skills to generate creative solutions.
  • Ability to quickly gain knowledge of new business processes and issues. Must possess effective negotiation skills to gain commitments from individuals and overcome obstacles.
  • Independently and proactively adjust to changing work requirements and effectively reprioritizes assignments without direction.
  • Proactively seeks out and adopts new skills, concepts, and practices relevant to the profession.
  • Self-management with strong interpersonal effectiveness and the ability to challenge thinking, when appropriate, while working within all levels of the organization including senior executives.
  • Ability to provide overall direction concerning multiple activities where deadlines and objectives need to be met. Demonstrated ability to effectively mentor others.

Knowledge:

  • Project management (standard/Agile) preferred, Microsoft Office, Excel, PowerPoint, MS SharePoint, and portfolio tool background helpful.
  • ServiceNow experience required 

Experience:

  • Prefer a minimum of one year experience in the health care industry with high level knowledge of technical concepts related to the industry and products and services of the company. Project Management experience preferred Experience working on cross functional teams strongly desired.

Education and Certifications:

  • Bachelor’s Degree in a related field preferred.

Location: 

  • This position is classified hybrid, which requires onsite work on Tuesdays and Wednesdays. 

Physical Demands:

While performing the duties of the job, the employee is frequently required to sit, use hands to finger, handle and feel, and talk, hear, and see. The employee must occasionally lift and/or move up to 5 pounds.
